# Resident Trust Ledger

> Manage resident personal funds with a transparent, auditable trust ledger.

## Overview

Some residents entrust your facility with managing a portion of their personal funds. The **Resident Trust Ledger** provides a per-resident transaction register with a running balance, receipt uploads, and a 48-hour access request workflow that ensures residents and their guardians can always review their funds.

## Viewing a resident's ledger

1. Go to **Finance → Trust Ledger**.
2. Select a resident from the dropdown.
3. The ledger shows all transactions in chronological order with dates, descriptions, amounts, and the running balance.

## Transaction types

| Type       | Description                                        |
| ---------- | -------------------------------------------------- |
| Deposit    | Funds received on the resident's behalf            |
| Withdrawal | Funds disbursed for the resident's expenses        |
| Adjustment | Correction to a prior entry (no deletions allowed) |

## Adding a transaction

1. Click **Add Transaction**.
2. Select the type (Deposit or Withdrawal).
3. Enter the amount, date, description, and optional receipt.
4. Click **Save**.

All transactions are permanent. To correct an error, add an **Adjustment** transaction with a note explaining the correction.

## Resident or guardian access requests

Residents and their legal guardians have the right to review the trust ledger. When they request access:

1. They or a staff member clicks **Request Access** on the ledger.
2. ImaraCare records the request timestamp.
3. You have **48 hours** to provide access.
4. When access is provided, click **Access Provided** to close the request.

Requests that are not resolved within 48 hours are flagged on the compliance dashboard.

## Downloading a ledger

Click **Download PDF** to export a formatted statement of all transactions for a selected date range. This PDF is suitable for sharing with residents, guardians, or auditors.

  Trust fund ledger entries cannot be deleted — only corrected via adjustment transactions. This is by design to maintain an unalterable audit trail.
