Overview
Every document in the Documents & Permits library now maintains a complete version history. Each time a policy, license, or permit is updated, the previous version is preserved and downloadable so you have an audit trail of every revision.
Uploading a new version
- Open Compliance → Documents & Permits.
- Find the document you want to update.
- Click the Versions button (clock icon) on the document row.
- Click Upload new version.
- Select the updated file (PDF, Word, or image — 10 MB limit).
- Optionally add a change summary describing what changed (e.g., “Updated fire exit routes after renovation”).
- Click Upload.
The new version is immediately marked as the current version. All previous versions remain accessible.
Viewing version history
Click the Versions button on any document to expand the version history panel. Each row shows:
- Version number (v1, v2, v3…)
- Current badge on the active version
- File name and upload date
- Change summary (if provided)
- Download button to retrieve any version
Downloading older versions
Click the download icon on any version row to generate a temporary signed download link. The link expires after 60 seconds for security.
Who can upload versions
Only users with the Manager or Administrator role can upload new versions. Staff and Auditor roles can view and download version history but cannot upload.
Add a brief change summary every time you upload a new version. This makes it easy to explain to an inspector exactly what changed between versions and when.
