The HHSC Digital Binder is an inspector-ready compliance packet that consolidates all six HHSC compliance domains into a single, reviewable interface. Open it by clicking the HHSC Binder button on the Documents page.
Only Managers and Administrators can open and export the binder.

Opening the binder

  1. Go to Documents in the sidebar
  2. Click the HHSC Binder button in the top-right header area
  3. The binder opens as a full-screen panel with an eight-section sidebar

Binder sections

Navigate sections using the left sidebar. Each section corresponds to a tab in the binder.

Tab 1 — Facility Profile & Permits

Displays your facility’s complete profile and physical plant specifications:
  • Facility name, license number, address, phone, and licensed capacity
  • Kitchen square footage, food prep area, cabinet storage per resident
  • Landline phone availability, emergency numbers posted, fire department evacuation plan approval date
  • Mobility-impaired resident flag
  • Active permits table (name, number, expiry date, status)
Update facility and physical plant data under Facility settings.

Tab 2 — Policies & Procedures

Lists all six HHSC-required written policies with:
  • Policy title and type
  • Document link (opens in a new tab)
  • Last reviewed date and reviewer
  • Not Yet Uploaded placeholder for missing policies
Manage policies under Policies & Procedures.

Tab 3 — Staff Compliance Matrix

A per-staff compliance grid showing:
  • Staff name and role
  • Background check status and expiry
  • Sex offender registry check expiry
  • Food handler permit expiry
  • Completion status for all 10 training modules
Update staff compliance records from individual staff profiles or the Staff Compliance page.

Tab 4 — Resident Care & Assessments

A roster of all active residents with:
  • Resident name and admission date
  • Service agreement signed date
  • HHSC eligibility status (Eligible or Action Required) from the latest assessment
  • Care level from the latest ADL assessment
Complete or update assessments from the Assessments tab in each resident profile.

Tab 5 — Incident & Safety Logs

The 20 most recent incidents with:
  • Incident date, type, and severity
  • Guardian notification date
  • 48-hour SLA status (Met or Violated)
Incidents are entered under Resident Care → Incidents.

Tab 6 — Financial & Rep Payee

Lists residents where the facility or an external party manages representative payee responsibilities:
  • Resident name
  • Rep payee type (Facility or External)
  • Admission date
Update rep payee status from the resident profile Overview tab.

Tab 7 — Evacuation & Drill Logs

Historical evacuation drill records including date, drill type, participants, facilitator, and outcome. Drill records are maintained under Drill compliance.

Tab 8 — Certification & Sign

The administrator certification page used when printing or presenting the binder. This page includes a signature block for the administrator to sign and date.

Export to PDF

Click Export PDF (top-right of the binder panel) to generate a pdfmake-rendered PDF of the full binder. The PDF includes:
  • A branded cover page with facility name, license number, and generation date
  • All eight sections with tables formatted for print
  • Page headers and footers with facility name and page numbers
  • A signature page for administrator certification
The PDF filename includes the facility name and today’s date (e.g. HHSC_Binder_Sunrise_House_2026-07-05.pdf).
Generate the binder before every scheduled HHSC inspection so you have a dated, printable record of your compliance status. The Workbox PWA cache ensures the binder loads quickly even on slower connections.
