Overview

ImaraCare enforces a contact clearance gate: a staff member cannot be assigned to direct resident interaction until they have completed all mandatory pre-contact training topics and passed a background check. This ensures every person who works with residents meets your licensing authority’s requirements.

Clearance status

Each staff member’s profile shows one of two badges:
  • Contact Cleared — all pre-contact training topics have been completed and the background check is clear
  • Not Cleared for Resident Contact — one or more pre-contact requirements are still outstanding

What is required for clearance

Clearance is granted automatically when all of the following are true:
  1. All pre-contact training topics are marked Complete
  2. The staff member’s background check has a Cleared status (or is otherwise in a non-barred state)
Both conditions must be satisfied. Completing training alone does not clear the contact gate if the background check is still pending.

Viewing clearance status

Go to Staff & HR → Staff Directory. Each staff card shows the clearance badge. You can also filter staff by clearance status using the status filter at the top of the list.

Clearance is revoked automatically when

  • A required recurring training topic expires and the renewal is not completed within the allowed window
  • A background check result is updated to Flagged, Barred, or Pending

Assigning cleared staff to residents

Resident assignment flows in the Resident Directory and Resident Profile are blocked for staff who are not contact-cleared. A tooltip explains the reason and links to the staff member’s outstanding requirements.
